Experience collaborating with cross-functional teams. Excellent communication skills for engaging with internal and external contacts. Proficient in Microsoft Office Suite.

The Counterparty Onboarding Administrator plays a crucial role within the Contracts Group, reporting directly to the Contracts Lead. This position is pivotal in facilitating the onboarding process of new vendors and counterparties across various Vitol offices and entities. You will work collaboratively with diverse stakeholders to ensure that all necessary documentation for the KYC (Know Your Customer) and onboarding processes are meticulously gathered and approved.

Key Responsibilities:

  • Oversee the complete vendor and counterparty onboarding process, verifying and collecting all essential documentation.
  • Continuously update and maintain accurate vendor and counterparty data in our systems.
  • Collaborate with Compliance, Credit, and other departments to ensure all required documentation is reviewed and approved.
  • Conduct independent callbacks to counterparties to verify banking information.
  • Support the development and refinement of onboarding procedures and guidelines.
  • Address and resolve discrepancies related to onboarding documents in collaboration with vendors and counterparties.
  • Review and validate W-9 forms and other tax documents for accuracy regarding names and withholdings.
  • Coordinate the completion of onboarding inquiries received by Vitol.
  • Provide weekly updates and reports on the status of the counterparty onboarding process.
  • Ensure proper filing of documents, emails, and other correspondence in the electronic retention system for each trade.
  • Respond promptly to internal and external inquiries.
  • Escalate issues as necessary to the Contracts Lead and Contracts Manager.
  • Maintain and update procedures documentation regularly.
  • Identify opportunities to streamline processes and enhance productivity proactively.
  • Participate in testing upgrades to systems and processes.

Location: This role is based in Houston, TX, and requires in-office attendance five days a week.
