This role is designed for a resourceful individual who thrives in a fast-paced environment, anticipates executive needs, and seamlessly integrates as a vital extension of the executive team.
The ideal candidate is an organizational guru, master communicator, and a powerhouse of execution, able to adeptly manage multiple priorities, safeguard executive time, and ensure smooth operations across various business functions without overlooking important details.
Key Responsibilities
Executive & Business Support
- Deliver high-level administrative and operational support across five businesses concurrently.
- Anticipate executive needs, proactively address potential challenges, and resolve issues before they escalate.
- Serve as a trusted gatekeeper and strategic partner to senior leadership.
Calendar, Inbox & Communication Management
- Oversee complex inbox management, including prioritization, drafting responses, follow-ups, and maintaining inbox zero.
- Manage scheduling across multiple businesses, time zones, and stakeholders efficiently.
- Handle internal and external communications with clarity, professionalism, and urgency.
Operations & Execution
- Track action items, deadlines, and deliverables across all businesses.
- Collaborate with internal teams, vendors, and partners to ensure seamless execution of tasks.
- Prepare documents, summaries, and reports with meticulous attention to detail.
High-Intensity Workflow Management
- Handle a high volume of tasks and rapidly changing priorities without faltering.
- Excel in a fast-paced, results-oriented environment.
- Execute tasks quickly, accurately, and consistently under pressure.
