Requirements:Demonstrated experience as an Executive Assistant or in a comparable administrative role. Exceptional organizational, time-management, and multitasking skills. Strong written and verbal communication abilities. Experience managing social media platforms and content management. Proven ability to maintain confidentiality and manage sensitive information. Willingness to work during U. S. time zones (PST, EST, CST). High school diploma or equivalent qualification. System and Work Setup Requirements:A stable, high-speed internet connection (preferably 25 MBPS or higher) with backup options for power interruptions or service issues. A personal computer/laptop with at least 8GB RAM and a processor equivalent to Core i5 / AMD Ryzen 3 / 2013 Mac or higher, running Windows 10 or above / Catalina 10.15 or newer, equipped with updated web browsers and security software, and 500GB/128 SSD storage. Noise-canceling headset/earphones and a webcam with a resolution of 720p or higher. A quiet, organized workspace free from distractions to facilitate focused work.

Key Responsibilities:

  • Efficiently manage calendars, schedule appointments, and coordinate meetings and travel plans for clients.
  • Leverage project management tools like Monday.com, Asana, Trello, Zoom Workplace, RingCentral, and Hubspot to develop and maintain necessary systems.
  • Manage incoming and outgoing communications, including emails and phone calls.
  • Assist in preparing and distributing reports, presentations, and other documents as needed.
  • Deliver outstanding client service by promptly addressing inquiries and resolving concerns.
  • Handle multiple email accounts to support executives such as the CEO and COO.
  • Collaborate with team members to ensure smooth operations and interdepartmental support.
  • Uphold confidentiality and discretion when dealing with sensitive information.
  • Continuously identify opportunities to improve efficiency in administrative processes.
