We are searching for a meticulous and proactive Accounts Payable Utilities Lead to oversee our extensive portfolio of utility accounts across various entities. This pivotal role is essential for ensuring the precision of our financial documentation, managing substantial asset deposits, and nurturing strong relationships with our service providers. The perfect candidate will excel at investigating inconsistencies, mastering intricate reconciliations, and delivering precise, high-quality data in a dynamic environment.Key ResponsibilitiesAs the Utilities Lead, you will serve as the principal subject matter expert for all financial operations related to utilities, emphasizing accuracy, promptness, and process optimization.•Account Management: o Establish and configure new utility accounts with service providers across diverse regions. o Proactively reach out to providers concerning missing bills to avert service disruptions. o Investigate and rectify payment discrepancies or billing problems.• Financial Reporting & Month-End: o Make correcting journal entries to uphold general ledger integrity. o Monthly reconciliation of the utility deposit asset account. o Scrutinize general ledger data to pinpoint unrecorded expenses and process necessary accruals.• Analysis & Problem Solving: o Audit utility invoices for significant or unexpected cost variations, investigate root causes, and correct errors. o Detect data anomalies, research underlying issues, and implement corrective measures.• Communication & Support: o Address internal and external inquiries with high urgency (within 24–48 hours). o Collaborate with the broader Accounts Payable team to facilitate data review and corrections. o Assist the finance department with ad-hoc requests and special projects as required.Requirements• Minimum of 2 years of pertinent Accounts Payable or general accounting experience.• Prior experience in multi-entity operations is essential.• Proficiency in Sage or similar mid-to-enterprise level accounting software is a significant asset.• Advanced Excel skills (including vlookups, pivot tables, and data formatting).

Our team members are encouraged to embrace change and pivot as necessary to enhance our collective success in achieving the organization’s mission.The responsibilities listed below are not exhaustive and may evolve in response to the business's needs and opportunities.Key ResponsibilitiesLease / Property AccountingInterpret lease documents and purchase agreements to determine required actions.Calculate and communicate rent increases and prorations with landlords.Upload lease and legal documents into Sage Intaact, ensuring data accuracy through thorough review and necessary corrections.Process monthly rent bills in Sage Intacct accounting system.Review annual CAM reconciliations from landlords, ensuring all supporting documentation is provided, and work with them to resolve any questions.Submit rent payment files into Sage Intacct.Manage monthly rent payments through the Wells Fargo CEO ACH portal.Track property tax payments, seek payment approvals, and process payments online to ensure timely compliance.Identify and communicate any changes that may affect lease accounting.Maintain regular communication with landlords via phone and email, proactively addressing inquiries or issues.Perform additional general accounting duties as assigned.Month-End Close / Year-EndPrepare monthly accruals as necessary, including rent, CAM, property taxes, and related items.Conduct monthly balance sheet reconciliations.Analyze rent trends to identify potential issues and clarify monthly variances.Prepare schedules for audit support and respond to audit inquiries.
