The Commercial Assistant Property Manager plays a crucial role in delivering top-notch property management services while supporting a Property Manager in overseeing an extensive portfolio of commercial properties. Key daily tasks include addressing operational issues, improving tenant relations, managing vendor schedules, and providing excellent customer service.
PRIMARY RESPONSIBILITIES
- Collaborate with Property Managers to effectively resolve building operations issues.
- Engage with vendors to ensure adherence to service contracts.
- Evaluate and assist in the completion of vendor agreements as necessary.
- Uphold the property owners’ policies and ensure compliance with relevant codes and regulations.
- Manage incoming calls and provide assistance to callers as required.
- Process work order requests and coordinate with building technicians or vendors accordingly.
- Organize building activities such as move-ins/move-outs and verify insurance documentation.
- Adhere to established accounts receivable guidelines, including tenant communication regarding rent payments and assisting the Property Manager with late fees and demand letters.
- Oversee the accurate coding of invoices for payments.
- Support Property Managers in preparing monthly financial reports tailored to owners' requirements.
- Assist in the preparation and review of annual operating and capital budgets, along with operating expense reconciliations.
- Help coordinate property insurance procurement, electricity procurement, and real estate tax review processes.
- Ensure compliance with management agreements.
- Work alongside Property Managers to facilitate accounting, leasing, marketing, and construction tasks.
- Familiarize yourself with lease types to support the Property Manager in lease compliance.
- Process tenant billback expenses.
- Assist in managing after-hours emergency calls as necessary.
- Help plan and execute tenant events in collaboration with the management team.
