Join our dynamic team at quickteam as an Executive Virtual Assistant, where you will play a crucial role in providing high-level administrative support to our CEO. This position demands outstanding organizational abilities, superior communication skills, and the capacity to manage a variety of tasks in a fast-paced environment. As the Executive Virtual Assistant, your primary responsibilities will include managing the CEO’s calendar, coordinating meetings and appointments, managing correspondence, and performing various administrative functions to maximize the CEO's productivity.
- Full-time position, requiring 40 hours per week
- Completely remote, work from the comfort of your home
- Competitive salary ranging from ZAR 17,000 to ZAR 20,000 per month, based on qualifications and experience
- Availability for work during Eastern Standard Time (EST) business hours is essential.
Key Responsibilities:
- Calendar Management: Skillfully manage the CEO's complex schedule, including arranging meetings, conference calls, and appointments while proactively resolving any scheduling conflicts.
- Email and Correspondence: Oversee and prioritize the CEO’s email correspondence, drafting and responding to emails on their behalf to maintain effective communication with both internal and external stakeholders.
- Travel Arrangements: Coordinate all travel logistics for the CEO, such as booking flights, accommodations, and transportation, as well as managing itineraries and necessary travel documentation.
- Meeting Coordination: Prepare agendas for meetings, handle logistics, and ensure all relevant materials are prepared and distributed ahead of time. Take minutes and track action items to ensure effective follow-up.
- Confidentiality and Discretion: Handle sensitive information with utmost integrity and professionalism, maintaining confidentiality in all matters concerning the CEO and the organization.
- Documentation and Filing: Maintain organized electronic and physical filing systems for easy retrieval and efficient organization of records and documents.
- Communication Liaison: Serve as a communication bridge between the CEO and various internal and external stakeholders, managing inquiries and ensuring accurate information dissemination.
- Research and Analysis: Conduct research, compile data, and prepare insightful reports, presentations, and briefing materials to assist the CEO in decision-making.
- Miscellaneous Tasks: Perform additional tasks and projects as required to support the CEO and the organization.
