Purpose:The Mobilization Specialist within the HR department is responsible for designing and executing effective mobilization strategies that facilitate the seamless integration of new hires into the organization. This role encompasses change communication management, scheduling mobilization timelines, and ensuring adherence to all pertinent regulations, including work visas and permits. A smooth mobilization process is crucial to enhancing the candidate experience and equipping new employees to thrive in their roles.Key Responsibilities:Respond promptly to mobilization requests from the Talent Acquisition team once candidates are approved by the client and leadership, ensuring efficient process initiation.Send welcome emails to new hires, outlining the mobilization process and acting as their primary point of contact.Collect and verify essential employment and visa documentation, including educational certificates, identification, work permits, and visa applications.Serve as a mobilization buddy to assigned candidates, guiding them through their transition to Jasara.Ensure candidates are mobilized within the designated time frame, proactively addressing any delays by consulting with team leads.Collaborate with the Government Relations team to initiate visa invitation issuance.Coordinate the visa application process, explaining all steps to new hires and liaising with immigration authorities, legal teams, or external agencies to ensure legal employment in the host country.Review and validate documentation with the help of contracted agents, working closely with candidates to complete necessary actions.Compile required documents for work visas, including attested documents, and provide these to the candidates and agents.Share onboarding materials, including the welcome guide, AMN check requests, and the Saudi Council of Engineers (SCE) registration process, ensuring new hires are well-informed.Maintain regular communication with agents and candidates, updating weekly progress on shared trackers, and informing line managers of status, improvements, or delays.Work in close collaboration with Talent Acquisition, HR Operations & Onboarding, Logistics, and Administration to guarantee that all paperwork, including visa documentation and necessary forms, is accurately filled out.Evaluate mobility costs and conduct an initial review for lead approval of invoices associated with new hires, such as payments to visa service agencies.Maintain accurate records of employee mobilization, encompassing medical reports, police certificates, attested degrees, SCE registration, and visa copies.
