Role overview
The General Affairs Specialist, based in Shibuya, supports a wide range of administrative tasks that keep daily office operations running smoothly. This role includes organizing employee events and requires regular communication in Japanese and either English or Chinese, reflecting the company’s international scope.
Main responsibilities
- Welcome visitors, handle calls and emails, and coordinate postal and floral arrangements.
- Oversee pantry operations and maintain safety and hygiene standards.
- Organize filing systems, business cards, and office supplies.
- Plan and execute town hall meetings, internal events, and team-building activities.
- Support onboarding and offboarding processes, and coordinate visits from headquarters.
- Manage office assets, storage, and company seal usage.
- Handle vendor payments and maintain communication with service providers.
- Oversee company registration changes and related documentation.
- Plan and implement office layouts and seating as staff numbers change.
- Take on additional tasks, including communication with overseas offices, often using chat and translation tools.
Work style
This position involves approximately 30 hours of overtime each month.
Team structure
The General Affairs Department consists of six members. While the primary focus is on general affairs, the team also collaborates on HR and administrative tasks, so occasional HR support may be required depending on workload.
Requirements
Essential
- At least one year of experience in office management or general affairs.
- Fluent Japanese.
- Business-level English or Chinese.
- Interest in HR and general affairs, with a proactive approach.
