We are looking for a meticulous and analytically-driven Accounts Receivable and Collections Specialist to spearhead our accounts receivable operations, oversee credit management, and ensure compliance with revenue governance post-billing.
Ideal candidates will possess a robust background in accounts receivable, demonstrating expertise in collections, cash application, and a comprehensive understanding of the financial control landscape, including revenue recognition, credit risk, allowance analysis, and month-end reporting.
In this role, you will collaborate directly with the CFO and engage closely with Revenue Operations, Sales, and Laboratory Operations to ensure seamless revenue conversion to cash, while adhering strictly to GAAP compliance. This position extends beyond mere transactional collections; it emphasizes governance in a structured financial framework.
Key Responsibilities:
Cash Application & Payment Processing
- Accurately and promptly apply ACH, wire, check, and credit card payments.
- Maintain a thorough audit trail and documentation for deposits.
- Investigate and rectify unapplied or misapplied cash transactions.
- Monitor payment gateway postings and manage exception reports.
Collections & Aging Management
- Generate and analyze daily and monthly aging reports.
- Conduct systematic collections outreach for accounts aged 30, 45, 60, and 90+ days.
- Communicate professionally with clients regarding outstanding balances.
- Track payment commitments and ensure resolution.
- Differentiate between disputed invoices and delinquent accounts.
- Advise on credit holds and escalation actions as necessary.
Deferred Revenue & GAAP Compliance
- Generate schedules for Customer Prepayment (deferred revenue) roll-forward.
- Reconcile prepayments and deposits.
- Support alignment for revenue recognition.
- Assist with analysis for allowance of doubtful accounts.
Credit Risk & Customer Oversight
- Maintain customer credit files and an approved payment term register.
- Monitor customer credit exposure and concentration risk.
- Engage in credit limit reviews and adjustments.
- Identify accounts requiring reserve considerations.
- Support formal analysis of bad debt reserves.
Month-End Close & Reporting
Deliver a comprehensive monthly A/R close package, including:
- Customer Prepayment (deferred revenue) schedule
- Samples billed but not reported schedule
- Samples work-in-progress (WIP) schedule
- A/R to general ledger reconciliation
- Aging trend analysis
- Collection status report
- Allowance analysis
- Unapplied cash summary
- Credit memo and refund summary
- Collection efforts summary
