About the job
Under the supervision of the Head of the Administrative Department and the Director of the Public Safety and Prevention Department, the Administrative Agent is responsible for executing a wide range of administrative and logistical tasks. Additionally, this role includes temporarily covering the responsibilities of the Head of the Administrative Department regarding financial matters during their absence.
Key Responsibilities:
Managing phone and in-person inquiries.
Organizing and displaying relevant information.
Archiving administrative documents.
Overseeing incoming and outgoing mail and documents.
Tracking overtime hours and holiday pay.
Administering the service and agents' administrative needs (certifications, approvals, professional cards, etc.).
Coordinating training for department agents.
Managing absences and time-off accounts.
Processing specific requests related to administrative systems and reprography.
Monitoring, managing, and preparing claims for impoundment (DELIB).
Managing clothing supplies and allocations for agents.
Assisting in ordering supplies (office, clothing, equipment) in collaboration with the department head.
Supporting the request for quotes with the department head.
Covering reception duties for DPSP and MJD.
Providing assistance on financial matters (department budget, purchase orders, etc.).
