Join The Total Group of Companies as an Administrative Assistant, where you will play a vital role in streamlining the administrative functions of our Elora branch. This dynamic position encompasses reception duties, office coordination, and comprehensive administrative support while also engaging in recruiting and onboarding processes.
Collaborating closely with our Management team, you will be instrumental in ensuring that branch operations are organized, efficient, and compliant with our company standards.
Key Responsibilities
Welcome visitors, oversee reception activities, and ensure adherence to sign-in and safety protocols.
Handle incoming phone calls and manage both internal and external correspondence effectively.
Assist in recruitment and onboarding processes, including candidate communication and training coordination.
Support invoice verification and manage general administrative tasks efficiently.
Coordinate meetings, training sessions, travel arrangements, catering, and local deliveries as necessary.
Prepare, format, and maintain documents, reports, and data utilizing Microsoft Office applications.
Perform data entry and ensure accuracy in record-keeping, tracking systems, and filing (both physical and digital).
Sort and distribute incoming mail and courier packages in a timely manner.
Monitor equipment and maintain organization in shared office and work areas.
Oversee Health & Safety records, training matrices, and assist with safety reporting and general branch operations.
