Position Overview:
We are looking for an enthusiastic and detail-oriented Administrative Assistant to serve as a vital point of contact for our patients. This role is crucial in providing a welcoming and efficient experience, from check-in to check-out. You will collaborate with patients, clinical teams, and administrative staff to ensure smooth operations, timely patient flow, and superior customer service.
Key Responsibilities:
- Deliver exceptional service to patients in-person, via telehealth, or over the phone.
- Maintain effective communication with clinical staff to address patient and office needs promptly.
- Facilitate a seamless patient experience by greeting patients and following established check-in protocols.
- Handle registration, including accurate data entry and insurance verification.
- Collect copayments and outstanding balances efficiently.
- Assist with check-out processes, scheduling follow-up appointments, and communicating necessary information.
- Manage phone calls and online inquiries from patients, ensuring timely responses and directing inquiries as needed.
- Perform clerical tasks such as managing mail, filing, scanning, scheduling, and electronic communications.
- Uphold patient confidentiality and stay informed about HIPAA regulations.
- Execute other duties as assigned to support office operations.
Qualifications:
- Preferred: Minimum of 1 year of administrative experience in a healthcare setting.
- Required: High School diploma or equivalent (GED).
Skills and Abilities:
- Outstanding interpersonal and verbal communication skills.
- Strong organizational and written communication abilities.
- Proficiency in multitasking, prioritizing workload, and managing time effectively.
- Thorough understanding of HIPAA guidelines and commitment to patient confidentiality.
- Able to work both independently and collaboratively in a team environment.
