As a pivotal member of our Senior Leadership team, you will play a critical role in ensuring seamless operations and communication.
Key Responsibilities:
- Calendar and Meeting Management:
- Schedule and coordinate internal and external meetings, including staff meetings, agency briefings, and one-on-one sessions.
- Manage meeting logistics such as food orders, agendas, and note-taking while proactively resolving calendar conflicts.
- Preparation for Meetings and Interviews:
- Disseminate agendas, resumes, and other necessary materials in advance of meetings and interviews.
- Ensure clarity around meeting objectives and context with senior leaders and participants.
- Collaborate with the recruiting team to schedule convenient times for candidates and interviewers, ensuring candidates feel welcomed and supported.
- Travel Arrangements: Handle all travel logistics, including flights, accommodations, and car rentals, for both domestic and international travel.
- Expense Management: Submit expense reports and receipts promptly, ensuring compliance with company policies.
- Onboarding Support:
- Assist in onboarding new hires by organizing equipment requests, scheduling introductory meetings, and serving as the primary contact for new employees.
- Vendor and Agency Onboarding: Facilitate the onboarding process for new vendors and agencies, ensuring they have the necessary access and documentation.
- Project Support: Engage in project work to align with team objectives as required.
