We are seeking to hire a Back Office Administrative Support for our headquarters in Barcelona, who will integrate into the Administration & Back Office team for an initial period of 6 months, reporting directly to the Team Leader.
What will be your mission?
You will play a crucial role in providing administrative support to our real estate advisors, ensuring proper document management and quality of internal processes. Your main responsibilities will include:
Verifying, reviewing, and keeping the administrative documentation related to real estate transactions up to date.
Ensuring that files are correctly set up and complete for formalizing buying and selling operations.
Managing and updating information in the CRM (Customer Relationship Management) system.
Acting as a direct point of contact for iad advisors, both via phone and digitally.
Channeling internal requests while adhering to established deadlines and procedures.
Providing administrative advice and resolving inquiries and issues from internal clients.
Supporting agents in daily operations and in gathering information for databases.
Digitizing, validating, and controlling documentation, contracts, corporate templates, and other administrative files.
Assisting in the management of mandates, addenda, energy efficiency certificates (CEE), deposits, and deeds.
Advising on billing matters and managing payments to advisors.
Preparing reports and contributing to the optimization of workflows.
