About the job
The University of Notre Dame’s Institute for Educational Initiatives is inviting applications for the position of Assistant Director of Program Operations. This is a limited-term, full-time role for 12 months, situated on campus at the University of Notre Dame, with the possibility of renewal for up to five years. Since its establishment, Tutor-ND has collaborated with schools and community organizations to enhance high-impact tutoring through cognitive science principles. The program currently supports high-impact tutoring in several local schools during school hours, offers on-demand assistance for community-based tutors, trains school staff to conduct summer programs, and provides science-of-learning-aligned resources to families. Recently, the Indiana Department of Education (IDOE), in collaboration with the University of Notre Dame and WestEd, secured a substantial grant aimed at increasing access to high-impact tutoring across Indiana.
The Assistant Director for Program Operations will play a vital role in managing the administrative aspects of the project and its programming. Reporting directly to the Managing Director for Tutor-ND, this position will ensure the program's operational health by overseeing software management, recruitment, scheduling, managing enrollment, and tracking program outcomes. Additionally, this role will facilitate collaboration between the Center for Educational Research and Action (Era), Tutor-ND, the Indiana Department of Education, and partner K-12 schools and universities through effective communication, ongoing grant writing activities, and other duties as assigned by the Managing Director.
Key Responsibilities:
- Manage Daily Operations: Oversee daily Tutor-ND operations, handling internal and external communication related to tutoring, training, and access to evidence-based resources. Administer recruitment and hiring processes for volunteer tutors, and manage scheduling needs.
- Develop Processes: Establish and maintain operational processes, including spreadsheet management, meeting timelines, and agendas, while ensuring digital tools (e.g., Airtable) are effectively utilized.
- Talent Acquisition and Community Relations: Act as the primary marketer for the program and liaison with university communications to create purposeful partnerships throughout Indiana, assessing tutoring needs and providing access to cognitive science materials. Manage all aspects of volunteer tutor recruitment, hiring, and onboarding.
