The Assistant Property Manager plays a crucial role in supporting the Property Manager(s) and the overall management of a commercial, industrial, or retail property portfolio. This position encompasses a range of responsibilities, including marketing, operational management, and financial oversight.
Key Responsibilities:
- Ensure the provision of services aligns with established policies, procedures, regulations, and contractual commitments.
- Review and authorize vendor invoice payments in accordance with the management agreement and LPC’s policies.
- Assist Property Manager(s) in the timely preparation and delivery of comprehensive monthly reports and budget materials as per client specifications.
- Support the collection of data and preparation of tenant rent and Common Area Maintenance (CAM) reconciliations or escalation charges.
- Collaborate with lease administration and accounting teams on all lease-related activities, including setup, modifications, and reporting.
- Coordinate tenant move-ins and move-outs, conducting walkthroughs with Property Manager(s) and maintain vacant spaces for tours.
- Address tenant concerns effectively, ensuring that all administrative and maintenance issues are resolved promptly.
- Facilitate contract documentation, purchase orders, and vendor service coordination at the property.
- Assist in the bidding process for services and products as needed.
- Review tenant billings for accuracy and manage collections efforts.
- Conduct regular property inspections, recommend maintenance or improvements, and liaise with contractors and vendors.
- Support the development of emergency response plans and ensure training and resources are available for effective recovery from incidents.
- Contribute to team performance through proactive execution of tasks and by suggesting improvements to processes and systems.
- Assist in client communications and the timely provision of accurate reports.
- Perform additional duties as assigned.
