As the first point of contact for clients, tenants, brokers, and internal teams, your contributions will significantly enhance our service delivery.
Key Responsibilities
1. Client & Tenant Coordination
- Serve as the primary contact for all incoming inquiries via phone, email, and in-person visits.
- Deliver prompt and professional responses to clients, prospects, and brokers.
- Efficiently route leads to the appropriate agents.
- Maintain an in-depth understanding of all ongoing projects and marketing materials.
- Ensure clear messaging and consistent communication with all stakeholders.
2. Documentation & Contracts
- Collect, analyze, and verify required documentation from clients and tenants.
- Prepare, organize, and manage both digital and physical files effectively.
- Oversee the company database, ensuring confidentiality of sensitive information.
- Assist with contract preparation and document tracking under supervision.
3. CRM & Reporting (to be developed over time)
- Update tracking sheets and CRM systems with new leads, status updates, and deal progress.
- Help generate weekly and monthly performance reports on leasing, sales, and pipeline activity.
- Collaborate with marketing, leasing, and sales teams to ensure data accuracy.
4. Administrative Support
- Provide comprehensive administrative support to agents and management.
- Coordinate meetings, appointments, and follow-ups.
- Assist with office coordination and workflow management as needed.
