Position Overview:
We are seeking a Client Service Specialist in Allentown, PA to provide exceptional support to our advisors and clients, while also managing various administrative tasks as required.
Key Responsibilities:
- Deliver outstanding client service to our clientele and assistance to advisors, which includes client communications (both electronic and verbal), account openings, asset transfers, processing financial transactions, drafting instructional letters, and coordinating with custodians, accountants, and other stakeholders.
- Ensure the accuracy and timely completion of all tasks, including documentation and system updates related to client information.
- Manage workflow processes, ensuring checklists are created and completed for meetings, including onboarding, reviews, discovery sessions, and terminations.
- Prepare for client meetings by generating necessary reports and documents for advisors; may also participate in meetings in a supportive or observational capacity.
- Monitor client account activities, investigate and resolve issues, ensuring all client needs are met promptly.
- Manage conference room schedules.
- Screen and direct incoming calls, take messages, and warmly greet guests.
- Oversee office management tasks, including supply tracking and ordering, document organization, and maintaining a professional office environment.
- Assist in planning and coordinating client events.
- Provide real-time scheduling support by arranging appointments and managing calendars effectively.
