POSITION SUMMARY
The Customer Service Assistant (CSA) plays a crucial role in supporting the Customer Service Team by efficiently managing all administrative tasks related to customer orders, quotes, and part cross-references. This position is vital for ensuring smooth operations and timely responses to customer inquiries.
KEY RESPONSIBILITIES:
- Accurately enter all customer purchase orders into the system.
- Organize and electronically file all customer purchase orders and quotes for easy access.
- Input customer part number cross-reference information into the system.
- Distribute incoming quotes, purchase orders, and bids to the customer service team.
- Monitor and maintain Parts generic, internal quote, and order mailboxes.
- Distribute sales orders with discrepancies in part number, price, or lead time to the Customer Service Representative (CSR).
- Verify customer sales orders against quote information, ensuring accuracy on all incoming purchase orders.
- Enter daily quotes into the quote system, including No Bid/No Quote information.
- Document daily quote award information and bid tabs in the quote system.
- Monitor public websites for bid/award information from the New Flyer general inbox.
- Input bid contract award information into the quote system.
- Upload various customer data into Oracle, including part numbers, bids, and price lists.
- Generate and distribute award information weekly from customer websites.
- Manage the scanning, distribution, mailing, and organization of all incoming and outgoing contract documents.
