Position: HR Assistant and Executive Assistant

Working Hours: M-F, 9am – 6pm PST (flexibility required beyond 6pm PT on occasion)

Scope of the Role
This hybrid role encompasses both HR operations and executive support. You will be a vital partner to leadership, ensuring that internal processes, people operations, and executive tasks are executed smoothly and efficiently. Your exceptional organizational skills, clear communication, and ability to maintain confidentiality will be essential for success.
Duties and Responsibilities:
Human Resources Support:
- Perform data entry for HR processes such as offer letters, new hire records, and payroll management.
- Send timely reminders to managers regarding critical deadlines, including weekly leadership meetings and company-wide All Hands meetings.
- Support recruitment efforts by posting job openings, reviewing candidate applications, and coordinating interviews.
- Address employee inquiries and concerns, escalating issues to the HR Director when necessary.
- Assist in creating HR-related presentations and reports.
- Facilitate the onboarding process for new employees to ensure a seamless transition.
- Maintain accurate and up-to-date employee records, including organizational charts, company-issued equipment, and time-off tracking.
- Develop and distribute monthly company newsletters.
- Manage company purchases for equipment, employee gifts, and other business-related needs.
Executive Assistance:
- Manage and organize the CEO’s calendar, including scheduling meetings, appointments, and prioritizing commitments.
- Coordinate domestic and international travel arrangements, including flights, accommodations, and detailed itineraries.
- Procure items as requested by the CEO.
- Prepare, edit, and organize internal and external communications, presentations, and reports.
- Track and follow up on action items to ensure timely completion.
- Coordinate logistics for meetings, events, and off-site activities.
- Maintain organized records and documentation on behalf of the CEO.
- Assist with ad-hoc projects as needed.
Requirements
- Demonstrated experience as an Executive Assistant, Administrative Assistant, or similar support role.
- Previous experience in providing HR administrative support is preferred.
