Role Overview:
The Portfolio PMO is essential to the success of programs, spearheading governance, compliance, stakeholder engagement, and operational excellence across diverse portfolios. This role guarantees conformity with central PMO standards, facilitates productive communication, and aids project teams in delivering value through systematic processes and ongoing enhancements.
Key Responsibilities:
- Stakeholder Management: Identify and analyze stakeholders, craft engagement strategies, sustain communication channels, and manage expectations through active listening and feedback.
- Governance and Compliance: Prepare for stage gate reviews, keep documentation current, and collaborate with governance teams to rectify compliance gaps.
- Methodology and Process Improvement: Champion change by ensuring full adoption of PMO processes, tools, and frameworks, while providing insights to the central PMO.
- Schedule Management: Ensure all projects have Level 1 plans and milestones, oversee adherence to planning standards, and evaluate impacts of milestone adjustments.
- Financial Management: Aid in forecasting accuracy, assist in creating financial workbooks, and work with finance teams to manage risks, opportunities, and benefits realization.
- Risk & Issue Management: Establish governance mechanisms for tracking risks and issues, ensure compliance with central guidelines, and maintain records in Planview.
- Dependency Management: Monitor and update program-level dependencies, represent them in governance forums, and verify data accuracy in central trackers.
- Resource Management: Collaborate with resource teams to manage allocations, identify potential risks, and address timesheet discrepancies.
- Reporting and Analytics: Define reporting metrics, contribute to dashboard development, perform trend analysis, and ensure high-quality commentary on project status.
- Benefit Management: Support teams in adopting benefit frameworks, maintain realization plans, and guarantee accurate benefits recording in systems.
- Training and Coaching: Facilitate training sessions, oversee program checklists, and provide feedback to central PMO on knowledge gaps.
- Document Management: Ensure proper storage of project artifacts according to project methodology guidelines and support audit readiness.
- Post Implementation Review: Conduct lessons learned sessions, document findings, and disseminate insights.
