The Team
We are seeking an Event Coordinator to join our team, reporting to the Senior Event Manager for the BLAST x Valve global ecosystem. This exciting role involves assisting in the planning and execution of arena show elements for multiple high-profile tournaments. This is a fantastic opportunity for an enthusiastic event professional to engage in a global setting, contributing to thrilling esports events.
Key Responsibilities
- Assist the Event team in pre-event planning and coordination for large-scale arena events globally.
- Support the Event Manager on-site with operational execution, including managing accreditations, coordinating catering services, and overseeing ground transportation logistics.
- Research, secure, and manage hotel accommodations for crew, talent, and teams - including negotiations for room blocks, managing rooming lists, scheduling check-ins/check-outs, handling special requests, and making last-minute adjustments.
- Oversee on-site catering operations for crew and teams, which includes vendor liaison, menu planning, dietary accommodation management, scheduling, and event-day setup.
- Raise and manage purchase orders (POs) and process invoices for the Events Department, ensuring accurate budget tracking and adherence to financial protocols.
- Provide flexible, ad-hoc support across the Events team as needed to guarantee seamless event delivery.
Qualifications
- Proven experience in organizing live events (esports experience strongly preferred).
- Demonstrated proficiency in budget management and cost control. Ability to juggle multiple priorities in fast-paced environments.
- Coordinate and manage travel logistics for players and crew.
- Possess a solutions-oriented mindset with strong problem-solving skills. Build and maintain effective cross-functional relationships, including collaboration with teams based in our Copenhagen office.
- Excellent written, verbal, and presentation skills with a keen attention to detail.
- Ability to quickly acquire a deep understanding of project requirements and expectations.
