This position is a 12-month Fixed-Term Contract to cover maternity leave.
The Executive Assistant will support the Senior Vice President of Consumer Products for EMEA and the Vice President of Business & Legal Affairs for EMEA & APAC. We're seeking an energetic and insightful individual who thrives in a fast-paced environment and demonstrates strong critical thinking abilities. This role involves liaising with staff, executives, and senior leaders to provide exceptional executive and office support, aimed at enhancing the executive's effectiveness and productivity.
The ideal candidate will possess excellent organizational and communication skills, and demonstrate a collaborative approach to managing executive office functions. Responsibilities include executive calendaring, meeting planning and coordination, travel administration, and project updates. This role also entails proactively assisting the executive in managing daily business activities as they arise.
Key Responsibilities:
- Daily Operations: Coordinate daily operations, collaborate with diverse teams, and manage administrative tasks such as calendar management and scheduling regional meetings.
- Executive Support: Assist the executive in prioritizing business strategies and aligning their schedule with business needs.
- Team Coordination: Work with the SVP and team coordinators to manage team communications, organize monthly and quarterly business reviews, and facilitate the distribution of meeting notes and follow-up actions.
- Travel Management: Arrange complex travel itineraries and documentation for the executive.
- Expense Reporting: Prepare and submit expense reports adhering to the divisional travel policy.
- Business Updates & Coordination: Prepare weekly and bi-weekly updates for senior executives and manage email and business requests efficiently.
- Community Engagement & Events: Promote team culture within our Consumer Products teams by organizing internal events and initiatives that foster connectivity and collaboration.
