The Executive Secretary plays a pivotal role in providing comprehensive administrative and secretarial support to the President and Board Members of the chamber. This position is essential for ensuring smooth operations and management of the chamber's activities.
Key Responsibilities:
- Oversee recruitment and supervision of paid office staff, ensuring alignment with board directives, while coordinating volunteer office members to fulfill the board's objectives.
- Maintain the security, organization, and accurate recording of the chamber's records and assets, ensuring compliance with legal requirements and accessibility for authorized personnel.
- Provide high-level administrative support, managing the board's affairs through scheduling and coordinating appointments, meetings, and events; transcribing drafts, proofreading, and revising various documents including correspondence, memos, and policies.
- Serve as the custodian of meeting minutes, ensuring proper filing and retention of resolutions and ordinances.
- Attend all chamber meetings and represent the organization at external events as required by the board.
- Make available secretarial support from the Executive Secretary or designated staff to committee chairs for committee and sub-committee meetings.
- Maintain updated lists of committee members for various committees including the Board of Directors and Executive Committee.
