Key Responsibilities
Office & Facilities Management
Oversee the upkeep and security of office and store facilities, ensuring cleanliness, maintenance, and basic repairs are addressed promptly.
Collaborate with vendors to coordinate facility-related services for the head office and offline stores throughout Jabodetabek.
Assist in store openings, relocations, and minor renovations, ensuring all general affairs and facility needs are met.
Ensure compliance with workplace safety standards, internal policies, and basic Health, Safety, and Environment (HSE) regulations at both office and store locations.
Purchasing & Procurement Support (Offline Stores)
Facilitate end-to-end purchasing processes for offline stores in Jabodetabek, covering store fixtures, furniture, equipment, consumables, and operational supplies.
Coordinate procurement requests from store teams, ensuring alignment with approved budgets and specifications.
Source vendors, request and evaluate quotations, and assist in vendor selection for store-related requirements.
Prepare and process purchase requests (PR), purchase orders (PO), and payment documents adhering to company protocols.
Monitor delivery timelines to ensure timely fulfillment for multiple store locations, liaising with vendors and logistics partners to resolve any delivery or quality issues.
Asset & Inventory Management
Maintain and update asset registers for office and offline store assets, including fixtures, equipment, and tools. Manage the distribution, tracking, and handover of assets to stores. Conduct periodic physical stock checks and asset reconciliations across Jabodetabek locations.
Manage vendor relationships related to store operations, including suppliers, contractors, and service providers.
Support contract administration, renewals, and service level monitoring for vendors related to store operations.
Keep proper documentation for vendor agreements and purchasing records.
Administrative & Operational Support
Assist with employee onboarding and offboarding from a general affairs perspective, including store staff equipment and access.
Coordinate internal events, store-related activities, and operational logistics as needed.
Provide ad-hoc operational support to ensure seamless day-to-day store operations.
Documentation & Reporting
Maintain all purchasing, procurement, and general affairs documentation, including PR/PO, invoices, contracts, and asset records.
Prepare regular reports on purchasing status, vendor performance, general affairs expenses, and support activities for stores.
Assist with audits or internal reviews related to procurement, assets, and facilities.
