We are searching for a proactive General Virtual Assistant who can start immediately!
Key Responsibilities:
1. Efficiently organize and manage documents and files.
2. Perform data entry tasks, including lead list preparation, meeting minutes transcription, payroll information compilation, and research note organization.
3. Conduct product research, manage purchases, and obtain samples.
4. Maintain and update information for marketing and sales campaigns using a CRM system.
5. Create invoices, track payments, and manage company expenses.
6. Research industry trends and best practices, preparing insightful reports for comparative analysis.
7. Oversee project monitoring, manage internal communications, and organize company data.
8. Coordinate team calendars to avoid scheduling conflicts and ensure client readiness for meetings.
9. Arrange travel itineraries, including hotel bookings and rental cars.
10. Handle incoming calls, make appointments, and conduct informational inquiries.
11. Manage email correspondence, follow up on messages, organize inboxes per client preferences, and highlight important communications.
12. Perform various ad hoc tasks as required.
Qualifications:
• Minimum of 1 year experience as a Virtual Assistant.
• Exceptional communication skills via phone, email, and instant messaging.
• Strong organizational and time management abilities.
• Willingness to work during graveyard shifts.
• Tech-savvy with familiarity in desktop sharing, cloud services, and VoIP technologies.
• Proficient with word-processing software and spreadsheets (e.g., MS Office, Google Workspace).
