The NFL Live Events team is at the forefront of orchestrating the league’s premier events, including the Super Bowl and International Games. We are seeking a dedicated Hotels & Meetings Associate to play a vital role in assisting our Events team with the seamless execution of these significant events and executive meetings, emphasizing hotel management and meeting logistics.
Key Responsibilities:
- Oversee the management of over 100 hotel contracts for upcoming Super Bowl and Draft bids.
- Facilitate the hotel assignment process for the Super Bowl, collaborating with various departments and partners to allocate 20,000 rooms efficiently.
- Administer the onboarding process through our supplier portal for all Super Bowl and Draft contracts.
- Coordinate hotel reservations for more than 800 attendees across all major events, including the Super Bowl, Pro Bowl, Combine, Draft, Flag Championships, Hall of Fame, Kickoff, International games, and various meetings.
- Support operations at the Super Bowl headquarters hotel, encompassing contract management, hotel reservations, meeting space logistics, food & beverage arrangements, signage, and vendor coordination.
- Plan and manage meetings across all tentpole events for the current and upcoming years, including sourcing hotels through our RFP platform and tracking proposals.
- Lead on-site event management for Owners Meetings and departmental gatherings, covering room block management, client check-in, credential distribution, and registration.
- Participate in all planning meetings as required for current and future tentpole events, outlining goals and objectives for each occasion.
- Collaborate cross-functionally with various internal departments throughout the year on meetings.
- Work closely with the finance team on budget reconciliation for all tentpole events and meetings.
- Assist the team in various capacities, including contract management, updating the special events calendar, and tracking budgets.
