As an HR Coordinator and Executive Assistant, you will work under the guidance of the Senior Manager in the Office of the CEO. You will deliver high-level administrative support to the Executive Management Team while also overseeing critical HR functions essential to our operations. This position demands outstanding organizational abilities, meticulous attention to detail, and adeptness at juggling multiple priorities effectively.
KEY RESPONSIBILITIES
Administrative Support – Offer top-tier administrative assistance to the Executive Management Team to ensure operational efficiency and organization.
Calendar & Travel Management – Manage calendar scheduling, coordinate travel logistics, and handle expense reporting with precision and timeliness.
Communication & Documentation – Create, format, and disseminate internal and external communications, including memos, emails, and reports.
Meeting Coordination – Organize meetings, document minutes, track action items, and follow up on crucial deliverables.
Project & Task Support – Assist with special projects and additional administrative duties as required.
Process & System Management – Collaborate with teams to develop and refine procedures, conduct system audits, and ensure process efficiency.
Additional Duties – Undertake other administrative tasks as assigned.
Human Resources Support
General Support – Assist the Senior Manager in the Office of the CEO with various HR-related tasks and administrative responsibilities.
Employee Recognition – Track and manage reminders for team celebrations to foster engagement.
Recruitment & Onboarding – Facilitate the recruitment process, including candidate shortlisting, interview scheduling, and coordination with hiring managers. Prepare and distribute onboarding materials to new hires.
