The Knowledge Management Coordinator is responsible for the upkeep of business development and marketing materials, including proposal responses and content related to personnel, projects, and collateral. This role involves generating new content and deliverables, while also identifying best practices in marketing, business development, and sales processes. The coordinator will provide training and instruction on these practices, and work collaboratively across the organization to create solutions and knowledge-sharing centers. Utilizing data systems, the coordinator will support proposal strategies and contribute to business strategic planning initiatives.
Key Responsibilities
Gain a comprehensive understanding of AECOM’s organizational structure and knowledge management approach, including the use of digital tools and repositories for gathering relevant information to enhance pursuit efforts and win contracts.
Update specific areas of data or content within AECOM’s libraries or systems as directed by senior staff, ensuring adherence to style guidelines and metadata governance.
Execute knowledge management-related tasks or respond to information requests from team members, while organizing content for pursuit team libraries.
Maintain organized records of decisions and actions from meetings pertinent to knowledge management.
Skillfully locate past pursuits, resumes, and project data from CRM systems and libraries.
Support project management for knowledge management initiatives.
Assist with routine knowledge management system maintenance activities.
Collaborate with internal teams to gather and verify information.
Deliver high-quality customer service, ensuring superior interactions with technical and functional stakeholders.
Conduct data updates and document revisions during periodic audits and data cleansing processes.
Process edits and content adjustments following established procedures to ensure data accuracy and quality.
Support the preparation of proposals (RFP/Q), pre-qualifications, and questionnaires by conducting thorough information searches.
Monitor and respond to inquiries directed to the knowledge management mailbox.
Assist with broader systems maintenance activities.
Raise any identified issues or concerns to the Team Lead for prompt resolution.
Perform a variety of routine tasks in compliance with service level agreements, processes, policies, and procedures.
Collect information and documentation to aid in investigating and resolving issues within the designated processes.
