The Laboratory Administrative Assistant in Embryology and Andrology embodies the mission, vision, and values of Northwestern Medicine (NM). Key Responsibilities:
- Administrative Duties:
- Prepare essential paperwork and documentation for daily patient visits, ensuring accuracy and completeness; organize charts following standard office protocols, including lab results, consent forms, procedure reports, and external medical records.
- May involve interacting with patients in clinic or virtually to verify patient records and necessary documentation.
- Conduct daily data entry in accordance with the Society for Artificial Reproductive Technology (SART) standards.
- Maintain an understanding of the laboratory inventory management process, which includes receiving, stocking, and rotating consumable supplies.
- Assist in all aspects of shipping and receiving cryo-storage specimens, responding to inquiries from patients, providers, and staff, scheduling couriers, managing shipments, inventory, and specimen transfers.
- Support the maintenance of patient accounts by accurately obtaining, recording, and updating personal and financial information as required.
- Coordinate projects to facilitate information flow and ensure adherence to deadlines.
- Perform additional administrative tasks as directed by the Reproductive Endocrinology Infertility (REI) leadership.
- Laboratory Duties:
- Adhere to laboratory procedures for documenting and maintaining patient test results, particularly morning laboratory quality controls and medical records.
- Follow the laboratory's quality control policies, documenting all quality control activities, instrument calibrations, and maintenance performed.
- Review the laboratory operating manual to familiarize with quality assurance, quality control, safety protocols, and operational guidelines for laboratory services.
- Participate in laboratory operations as directed and attend meetings as required.
- Assist embryology staff with procedures and research projects and communicate effectively with clinical staff as necessary.
