Position: Law Firm Receptionist
Salary: PHP85,000-PHP148,000/month
Work Schedule: 8:00AM - 5:00PM AEST
OVERVIEW:
Join our dynamic law firm as a Receptionist, where your organizational skills and proactive approach will be essential in managing client interactions and providing legal support. This hybrid role involves front-of-house responsibilities as well as engaging in paralegal duties, ensuring seamless communication and documentation throughout the firm.
The ideal candidate embodies attention to detail, the ability to juggle multiple tasks, and a commitment to enhancing client relationships from initial contact through follow-up, thus allowing our principal lawyer to focus on delivering exceptional legal services.
RESPONSIBILITIES:
Reception & Client Management
- Act as the primary point of contact for clients, responding to calls and emails with professionalism.
- Efficiently schedule client meetings using the firm's retainer system, eliminating the need for the principal lawyer to handle calls directly.
- Qualify and assess potential new clients to determine their suitability for the firm’s services.
- Maintain precise client records and follow-up schedules.
Paralegal Support
- Draft legal documents, including Wills and contracts, primarily in Wills & Estates.
- Manage client communications regarding document updates and inquiries, ensuring timely follow-ups.
Financial Administration
- Accurately generate and issue invoices in a timely manner.
- Oversee payment collections and manage debtor follow-ups, ensuring outstanding invoices are resolved promptly.
Tools & Systems
- Demonstrate proficiency in using Smoke Ball and Calendly to schedule and manage appointments effectively.
QUALIFICATIONS:
- 3-5 years of experience as a law firm receptionist or in an administrative role with paralegal responsibilities.
- Proficient in conveyancing platforms, including Smokeball, LEAP, or similar software.
- Strong knowledge of Wills & Estates processes; conveyancing experience is highly desirable.
- Exceptional attention to detail, with the ability to handle sensitive legal information confidentially.
- Excellent verbal and written communication skills.
- Ability to manage competing priorities while maintaining professionalism under pressure.
- Self-starter with the ability to work independently, minimizing the need for supervision.
- Organized and meticulous, ensuring tasks are completed accurately and efficiently.
