Job Title: Legal Assistant

About the Role:
Pavago is on the lookout for a dedicated Legal Assistant to assist attorneys in managing administrative and procedural duties. This pivotal role is essential in maintaining the organization of legal teams, ensuring documents are accurately prepared and filed, and facilitating prompt communication with clients. The Legal Assistant lays the groundwork that enables attorneys and paralegals to concentrate on substantive legal matters.
Key Responsibilities:
- Document Preparation: Draft standard legal correspondence, create templates, and proofread contracts, pleadings, and filings for accuracy and formatting compliance.
- Case & File Management: Systematically organize case files within digital management platforms (e.g., Clio, MyCase, PracticePanther). Ensure that all documents are up-to-date, clearly labeled, and easily accessible.
- Court Filing: Prepare and submit electronic filings with both state and federal courts. Monitor filing confirmations and uphold compliance with deadlines.
- Scheduling: Oversee attorney calendars, which include hearings, depositions, client meetings, and filing deadlines. Provide reminders and manage logistics.
- Client Communication: Compose and send updates, reminders, and requests for documents to clients, ensuring all communications remain professional and documented.
- Research Support: Conduct initial legal research (statutes, case law, regulations) under attorney supervision and summarize findings for review.
- Billing & Timekeeping: Monitor attorney billable hours, prepare invoices, and maintain billing systems.
- Administrative Support: Coordinate notarizations, organize trial exhibits, and assist in trial preparation as required.
Qualifications:
- Highly organized and detail-oriented.
- Adept at multitasking, capable of managing various cases simultaneously.
- Excellent written and verbal communication skills.
- Proficient in technology and legal practice software.
- Proactive in anticipating the needs of attorneys and clients.
Required Experience & Skills:
- Minimum of 2 years of administrative or legal support experience.
- Proficient in Microsoft Office and Google Workspace.
- Familiarity with at least one legal case/document management system (e.g., Clio, MyCase, PracticePanther).
- Strong typing, formatting, and proofreading abilities.
Preferred Experience & Skills:
- Knowledge of e-filing systems for state and federal courts.
- Experience in litigation, corporate law, or compliance practice areas.
- Familiarity with tracking billable hours using legal billing software (e.g., Clio Manage, Timeslips, Bill4Time).
