Our client is a prominent U.S. retention marketing agency specializing in providing fractional head-of-retention services to consumer packaged goods (CPG) subscription brands. They integrate deeply into their clients' operations, managing the systems, workflows, and strategies that enhance subscriber retention and increase spending. The work is systematic, impactful, and intentionally straightforward. They operate with a compact, senior team that values rapid execution and high standards.
Role Overview:
We are seeking an experienced Project Manager to serve as the operational backbone of the agency. In this role, you will take ownership of the systems that ensure client projects progress smoothly, maintain effective internal communication, and prevent any tasks from slipping through the cracks. This is not a passive role; you will be the driving force ensuring timely delivery of work across all clients each week.
Core Responsibilities:
- Oversee the entire new client onboarding process, including setting up Slack channels, granting platform access, and assigning internal responsibilities across various workstreams.
- Manage action items from weekly client meetings by documenting Slack summaries after each call and ensuring clear ownership of follow-up tasks.
- Maintain and update client project trackers to ensure timelines and deliverables are consistently monitored throughout the week, not just during review periods.
- Facilitate communication and follow-ups on action items with the internal team, ensuring all tasks for the week remain on track while integrating new action items from client meetings.
- Prepare and distribute internal meeting agendas in advance of weekly client calls to ensure the team is well-prepared and aligned.
- Provide end-of-week updates to clients summarizing accomplishments and outlining upcoming tasks.
- Proactively develop and automate processes for recurring needs, such as onboarding checklists and client communication schedules.
- Strike a balance between operational structure and AI integration, selecting tools and workflows that are user-friendly for a small team and significantly enhance efficiency.
This role is open to residents of South America.
Requirements
- 3-5+ years of project management experience in e-commerce, either in-house or at an agency. A deep understanding of DTC operations, subscription businesses, and retention marketing is essential.
- A background in DTC e-commerce is a MUST.
- Demonstrated ability to excel in a fast-paced, small-team environment where individual accountability for outcomes is expected.
- Exceptional written and verbal communication skills.
