This part-time position is perfect for someone who flourishes in dynamic settings, has a flair for transforming ideas into memorable events, and prides themselves on delivering exceptional experiences from the first inquiry to the event's conclusion.
As the Conference & Events Coordinator, you will serve as the primary liaison for clients, collaborating closely with various internal departments to ensure that every conference, meeting, and event is executed flawlessly and surpasses expectations.
Your responsibilities will include:
- Overseeing conference and event inquiries from initial contact through to post-event follow-up.
- Crafting function sheets, contracts, and event orders with meticulous attention to detail.
- Evaluating each event proposal, selecting those that align with availability and our marketing strategy.
- Providing creative promotional ideas to enhance the event planning and execution process.
- Being present during events to guarantee smooth operations and manage any last-minute adjustments.
- Facilitating negotiations for space contracts, booking venues, arranging catering, ordering supplies and audiovisual equipment, and ensuring appropriate decor to meet Minor Hotels' standards.
- Maintaining comprehensive knowledge of the hotel’s offerings to effectively promote them to clients.
