Role Overview
In the role of Receptionist and Administrative Assistant, you will be the first point of contact for clients, visitors, and callers, delivering professional and courteous service both in person and over the phone. Your responsibilities will include managing incoming communications, directing inquiries appropriately, and supporting daily administrative operations to ensure the agency runs smoothly.
Key Responsibilities
Welcome and assist clients and visitors warmly and professionally.
Answer, screen, and route incoming phone calls to the relevant staff members.
Manage and redirect unsolicited sales calls effectively.
Receive, sort, and distribute incoming mail to the appropriate personnel.
Prepare and process outgoing priority mail efficiently.
Handle incoming faxes; monitor outgoing faxes to ensure successful transmission.
Regularly check departmental administrative email inboxes and distribute messages as needed.
Maintain a clean, organized, and professional reception area.
Organize and monitor office supply inventory, ensuring the supply room is well-maintained.
Offer data entry support to Personal Lines and Commercial Lines departments by updating customer accounts as necessary.
Perform additional clerical and administrative tasks as assigned to support agency operations.
