Clearance, Risk, Compliance and Commercial Disciplines
• Proactively assist in the initiation process for new clients and matters, including managing all related conflicts clearance and file opening processes in compliance with the Firm's standards.
• Provide comprehensive financial, risk, and compliance management support from inception to billing, which includes: (1) conflict clearance/checking of all parties, (2) drafting or aiding in the finalization of engagement letters per lawyers' instructions, (3) supporting the firm's commercial discipline initiatives, including establishing and maintaining Matter Balance Reports with fee estimates and phases, (4) managing security access on sensitive matters in Security Policy Manager (SPM), (5) creating and maintaining project email distribution lists, (6) setting up iManage sites with suitable folder structures and relevant information, (7) establishing time recording rules accounting for specific client e-billing rules and sending regular reminders to the deal team, (8) drafting bill letters, correspondence, and managing client matter updates.
• Collaborate with the Billing team to organize and participate in regular billing and collections review meetings, proactively preparing and following up on action points with clients, partners, managing associates, and other Practice Support Administrators.
• Timely and accurately raise GMPS bills, invoices, and write-offs for the billing team's review, liaising with them for fapiao and ensuring safe dispatch to clients.
• Actively manage debt collection processes and procedures in coordination with the matter team and Accounts.
• Oversee, process, and delegate all matter-related expenses and invoices, working with Accounts Payable as necessary.
Matter Management and Matter Team Support
• Serve as a liaison and support for matter teams, assisting in planning, managing timelines, dates, and deliverables, coordinating appointments, and ensuring all meetings are logged in lawyers' calendars.
• Assist in drafting letters, emails, pitch materials, RFP documentation, and meeting agendas.
