The Program Specialist I plays a crucial role in fostering and nurturing relationships with Hiring Managers, overseeing the complete lifecycle of the requisition process. This includes requisition intake, candidate shortlisting, sourcing management, onboarding, worker assignment management, time and expense management, offboarding, and reporting. Acting as a talent advisor, the Program Specialist I is dedicated to supporting our clients in efficiently acquiring quality talent.
Key Responsibilities:
- Support client managers throughout all phases of the contract labor acquisition process: requisition intake, candidate sourcing, and shortlisting.
- Exhibit recruitment expertise by crafting insightful questions tailored to the position before conducting requirement intake sessions with hiring managers to compile detailed job descriptions for distribution.
- Record requirement intake discussions in the designated database (VMS, AGS360).
- Leverage reports to manage open requirements, advising managers on their status and monitoring supplier sourcing strategies for timely responses.
- Collaborate with hiring managers to establish expectations, timeframes, feedback mechanisms, and delineate roles and responsibilities throughout the requisition fulfillment process.
- Coach and oversee the performance of participating staffing suppliers.
- Document all client/supplier reported issues and track their resolution in the CRM system to ensure high customer satisfaction.
- Monitor performance against contract SLAs, requisition aging, invoicing, time and expense entries, and vendor compliance tracking.
- Maintain and update monthly activity and performance reports.
- Engage in constant communication with clients, staffing vendors, contract personnel, and other partners via face-to-face meetings, email, and phone.
- Assist with worker assignment management, including cost center changes and contract extension processes to enhance data integrity.
- Coordinate with managers, vendors, and the security department to ensure all necessary paperwork is completed before the commencement and conclusion of assignments, ensuring accurate closure of work orders in the system.
- Facilitate the collection of company assets from vendors.
- Oversee time and expense entry to ensure timely approvals from hiring managers.
- Maintain frequent interactions with vendors to guarantee the timely completion of new hire paperwork, mitigating onboarding delays.
- Log all client and vendor inquiries in Salesforce.com.
