Job Summary
The Real Estate Contract Coordinator is essential for maintaining financial accuracy and operational integrity across our offices. This role collaborates with agents, managers, vendors, and accounting teams to ensure all documentation is in order and supports the efficient processing of commission payments. A deep understanding of real estate transactions and the ability to navigate the unique policies and commission structures of our 26 offices is crucial.
This position is based in our Chicago Loop office with a hybrid schedule requiring in-person attendance three days a week.
Essential Duties & Responsibilities
- Ensure all documentation meets compliance requirements for new sales, leases, and referral transactions.
- Facilitate communication with agents, clients, attorneys, and title companies to resolve issues as they arise.
- Accurately input and update data regarding commission structures, business partners, and closing details in our internal systems.
- Work collaboratively with internal teams to maintain smooth file flow and accurate record-keeping.
- Maintain and update records for cooperating brokers and vendors.
- Assist agents and branch administrators with commission inquiries and discrepancies.
- Provide guidance on commission policies and transaction procedures.
- Identify trends or errors in reporting and suggest improvements.
- Assist with audits and month-end closing processes.
