About the Role:
Join our dynamic team at pavago as a Real Estate Specialist. In this pivotal role, you will provide essential support to agents, brokers, and clients throughout the entire real estate transaction lifecycle. Your responsibilities will include coordinating listings, managing transaction files, ensuring compliance with state regulations, and delivering timely updates to all stakeholders. As a trusted operations partner, you will play a crucial role in facilitating smooth transactions and ensuring client satisfaction.
Responsibilities:
Transaction Coordination:
- Oversee 5–15 active transactions simultaneously, guiding them from accepted offer through to closing.
- Maintain comprehensive transaction checklists, timelines, and compliance files.
- Collaborate with escrow, title, lenders, inspectors, and appraisers to ensure efficiency.
Listing & Marketing Support:
- Enter new listings into MLS and syndicate across platforms such as Zillow, Realtor.com, and Apartments.com.
- Create engaging flyers, brochures, social media content, and open house materials.
- Analyze listing performance and report findings to agents.
Compliance & Documentation:
- Ensure all contracts, disclosures, addenda, and amendments are complete and properly signed.
- Verify compliance with state regulations, brokerage policies, and MLS requirements.
- Maintain records in an audit-ready state.
Client Communication:
- Deliver weekly updates to buyers, sellers, and agents regarding transaction progress.
- Schedule showings, inspections, and appraisals efficiently.
- Respond promptly and professionally to client inquiries.
Reporting & Administration:
- Generate pipeline reports for agents and brokers.
- Monitor contingency deadlines, closing dates, and commission disbursements.
- Assist brokers with back-office compliance audits.

Required Experience & Skills (Minimum):
- 2+ years of experience in real estate support, transaction coordination, or brokerage operations.
- Proficiency with MLS platforms, DocuSign, and transaction management systems (like Dotloop, Skyslope, Brokermint, or equivalent).
- Strong skills in Microsoft Office and Google Workspace (particularly Excel/Sheets).
