The Role
We are on the lookout for a dedicated Recruitment & Crew Booking Assistant to join our London team on a fixed-term contract until September 2026. This role merges recruitment administration with operational crew booking responsibilities, supporting the entire recruitment lifecycle while working closely with the Account Management and Operations teams to ensure efficient booking, scheduling, and management of event crew.
Key Responsibilities
Recruitment & Resourcing
- Craft and distribute job advertisements across various job boards, social media platforms, and recruitment networks.
- Evaluate applications and shortlist fitting candidates.
- Conduct initial phone screenings to assess candidates' suitability.
- Coordinate and schedule interviews using our Applicant Tracking System (ATS).
- Serve as the primary contact for candidates throughout the recruitment journey.
- Keep the ATS and CRM systems up to date, ensuring accurate candidate records.
- Assist in the onboarding process by gathering necessary documentation and verifying candidates' right to work in the UK.
Crew Booking & Event Operations
- Collaborate with the Account Management team to comprehend staffing needs for each event.
- Book event crew for shifts utilizing the CRM system.
- Work closely with Operations Managers and Crew Managers to provide staffing recommendations.
- Establish and maintain strong relationships with both new and existing crew members, understanding their strengths, availability, and performance feedback.
- Allocate crew based on logistics, availability, and Crew Chief reports.
- Ensure that all crew members are informed of shift details and updates in advance.
- Manage and communicate last-minute changes promptly, resolving scheduling conflicts as they arise.
- Deliver practical staffing solutions under tight deadlines.
- Ensure all jobs and bookings are accurately recorded and maintained within the CRM.
