We are on the lookout for a skilled Executive Assistant to provide support to a U.S.-based healthcare client, specializing in medical and therapy services through Nurse Practitioners (NPs) and Physician Assistants (PAs) placed in nursing homes. This fully remote, full-time position is ideal for a detail-oriented professional who excels in maintaining organization within leadership teams, ensuring they remain structured, informed, and focused. Previous experience in healthcare operations or clinical workflows will be considered an advantage.
Key Information:
- Working Hours: Monday to Friday | 9:00 AM – 6:00 PM EST (4:00 PM – 1:00 AM South African time, subject to daylight savings).
- Public Holidays: This role requires availability on South African and U.S. public holidays, with compensation for SA public holidays as per the BCEA.
- Internet Requirements: A fixed fibre line with a minimum speed of 25 Mbps (both upload and download) and wired Ethernet capability is essential. Applications without a fixed fibre line will not be considered.
- Power Backup: A reliable power backup solution is required to manage load shedding or outages. Applications without power backup will not be considered.
- Work Environment: Fully remote.
Key Responsibilities:
- Collaborate closely with executives to keep tasks, priorities, and workflows organized.
- Maintain and manage executive to-do lists and track key action items.
- Participate in meetings, take clear and accurate notes, and follow up on deliverables.
- Update and maintain project management tools (familiarity with tools like Monday.com or Asana is advantageous).
- Provide general administrative coordination and day-to-day operational support.
- Ensure tasks and projects are tracked and completed in a timely manner.
- Communicate professionally with internal stakeholders as required.
- Anticipate needs, prioritize tasks independently, and establish your workflow in a remote setting.
Qualifications:
- Proven experience as an Executive Assistant.
- Exceptional organizational and time management skills.
- Detail-oriented with a proactive mindset.
- Excellent English communication skills (both verbal and written).
- Ability to work independently and develop your own work rhythm in a remote environment.
- Proficient in basic computer systems, Microsoft Office, and Outlook.
- Familiarity with project management tools is advantageous.
