The primary responsibility of the Senior Audit Secretary is to deliver outstanding administrative and secretarial support to multiple Partners within the Audit department at Deloitte.
Client Engagement: External & Internal
- Engages directly with client personnel on behalf of executives as instructed.
- Responds to client inquiries promptly and follows up when necessary.
- Fosters professional relationships with client staff.
Operational Excellence
- Handles daily matters for executives, enabling them to concentrate on strategic initiatives and judiciously redirecting inquiries to appropriate teams.
- Performs various administrative tasks, including filing, photocopying, faxing, printing, and binding.
- Orders and manages office supplies and logs maintenance requests and calls.
- Maintains executive calendars and organizes appointments, prioritizing tasks for optimal time management.
- Coordinates travel arrangements and itineraries for both local and international trips.
- Collaborates with internal staff, relevant organizations, and clients to facilitate necessary services such as IT, event management, marketing, and legal support.
- Stays updated on changes, issues, and developments within the service line.
- Ensures the use of the latest brand-compliant templates and maintains confidentiality in all communications.
- Organizes, prepares, and supports meetings by providing necessary documentation, creating agendas, and taking minutes.
- Drafts professional correspondence, presentations, reports, and documents as requested by the business.
- Welcomes visitors and directs them to the appropriate personnel, meeting rooms, or departments.
- Proactively prepares for and receives new hires in the department, managing logistics such as office space and computer arrangements.
- Updates contact lists, tracking new and existing clients while maintaining digital filing systems for audit clients.
- Manages incoming/outgoing trays effectively.
- Tracks birthdays, organizes farewells, and orders flowers as needed.
- Assists colleagues as necessary, accommodating interruptions and changes to plans.
- Performs additional duties and ad hoc tasks as requested by the business, including assisting with Learning & events organized by the firm.
Expense Management and Profitability
- Utilizes initiative in planning travel and events to ensure efficient use of time and resources.
- Keeps accurate records of expenses, invoicing, and timesheets for Partners/Directors, submitting them promptly. Assists management with these tasks as directed.
- Effectively utilizes time, equipment, and resources.
- Logs or processes bills or expenses, including purchase requisitions and expense claims.
