As a Transport Administrator at Culina Group, you will play a crucial role in the daily management of customer consignments, ensuring the precision of all information. You will be responsible for reconciling consignment costs with daily schedules provided by customers, facilitating accurate charging and invoicing at the end of each week and accounting period.
Working Hours: 4 on 4 off nights, from 18:00 to 06:00 (averaging 38.5 hours per week).
Salary: £24,444.42 per annum.
Key Responsibilities:
- Generate and verify daily customer consignments using our in-house AS400 system (GTS), primarily through EDI Import, while liaising with customers as needed.
- Ensure all consignments are accurately processed and ready for invoicing, acquiring rates for new delivery points from the ESL Finance and Reporting Team when necessary.
- Update consignment details as required and communicate changes to relevant stakeholders, including ESL Planning teams and Tesco on-site teams.
- Create dummy consignments on GTS to assist ESL Planning teams and the Operations department with driver staffing levels.
- Compile reports (KPI and other) for customers and ESL, using Microsoft Excel, including Volume, Dummy Jobs, and Performance Reports.
- Reconcile data on ESL’s GTS system against schedules provided by customers for individual Tesco depots to ensure accurate billing.
- Collaborate with Transport Managers and other on-site team members to guarantee the accuracy of data presented to customers.
- Support the Admin Team Leader and Data Analyst in providing performance and cost-related information as required.
- Provide Tesco on-site teams with current information about new Tesco stores, including Risk Assessments, rates, and GTS Location codes.
- Assist the Admin Team Leader and team with general administrative tasks and other duties as assigned.
- Escalate unresolved issues to the Admin Team Leader.
- Participate in daily Irish conference calls to determine the type and number of trailers needed.
- Manage Isotrak compliance to ensure all loads are tracked, coordinating with the planning team to rectify any driver or job discrepancies.
- Coordinate with the warehouse to ensure the availability of appropriate trailers to meet demand.
- Conduct daily yard checks to meet safety and legal standards and report any defects to the relevant personnel.
- Stay updated with news, vacancies, and process updates as shared on the ESL Intranet system.
