Key Responsibilities
Administrative & Operational Support:
- Manage schedules, calendars, and task lists for the team.
- Organize and maintain digital files, records, and documentation efficiently.
- Oversee all program communications via email and FedEx, adhering to required timelines.
- Assist with onboarding, training coordination, and resource preparation as necessary.
Program Coordination:
- Monitor program deadlines to ensure timely progress.
- Report on status updates, highlighting potential risks or delays to leadership.
- Coordinate logistics regarding team equipment, materials, or travel arrangements.
Communication & Stakeholder Engagement:
- Act as a liaison between internal teams, partners, and field staff.
- Respond to inquiries and route information to the appropriate parties efficiently.
- Facilitate effective communication by distributing updates, documentation, and reminders.
Data & Reporting:
- Accurately collect, review, and enter data into relevant dashboards or systems.
- Generate routine and ad-hoc reports to support performance monitoring.
- Identify discrepancies or trends and escalate issues as necessary.
Process Improvement:
- Propose process enhancements to improve efficiency and quality.
- Assist in the implementation of new systems, workflows, or tools.
- Support compliance by ensuring procedures are consistently followed.
