A dynamic and expanding mental health practice based in the U. S. is on the lookout for a meticulous and proactive Medical Virtual Assistant to provide essential support in daily administrative tasks, client coordination, and medical billing operations. This position is perfect for individuals with experience in medical billing who are adept at managing client communications and backend reconciliation within an Electronic Health Record (EHR) system. There is an opportunity for this role to evolve into a full-time shared position supporting two therapists.
● Respond to incoming calls and assist clients
● Schedule, reschedule, and oversee appointments
● Handle emails and client inquiries with professionalism
● Submit daily insurance claims through the EHR system
● Investigate and follow up on unpaid or rejected claims
● Conduct billing reconciliation to ensure payment accuracy
● Collect co-payments at the start of each day
● Liaise with insurance companies regarding claims
● Maintain and organize records within the system
● Update and input accurate data into the EHR
● Adhere to standard operating procedures for billing and administrative processes
● Create or modify templates/scripts for communication as needed
● Medical billing experience (non-negotiable)

● Strong English communication skills (clear, easy-to-understand accent)
● Prior experience in medical billing or healthcare administration
● Exceptional attention to detail and accuracy
● Ability to follow SOPs and structured workflows
● Strong organizational and multitasking skills
● Approximately 20 hours per week (Part-Time)
● CST working hours
● Potential to transition to full-time (40 hours/week)
