Position: Operations and Client Support Virtual Assistant

Salary: $1,500 AUD – $2,000 AUD per month
Contract Type: Independent Contractor Agreement
Working Hours: Align with Australian business hours (approximately 9 AM to 5 PM, Monday to Friday). Some flexibility in time management is available.

What You Will Do
This position covers a broad set of tasks across operations and client support. The Virtual Assistant will:
- Manage accounts receivable and follow up on overdue payments
- Assist with sales leads and project administration
- Support company directors with personal and administrative tasks
- Process website orders and coordinate order fulfillment
- Follow up on freight and delivery issues
- Set up projects accurately in Salesforce
- Ensure diligent completion of all assigned projects and tasks
Success in this role requires strong organization, attention to detail, and comfort using Xero, Salesforce, spreadsheets, and internal admin tools.
Key Responsibilities: Accounts Receivable and Debt Follow-Up
- Regularly review overdue accounts in Xero
- Check each overdue account in Salesforce before contacting customers
- Investigate reasons for delayed payments, such as:
- Installation delays
- Quality concerns
- Customer complaints
- Unresolved service or project issues
- Decide whether to follow up immediately or escalate issues internally
- Document actions, customer feedback, and next steps thoroughly
- Escalate complex issues to management before taking further action
- Maintain a friendly, professional approach in all payment-related communication
