To support this, Vilgain is hiring a part-time ClickUp Automation & Workflow Specialist to help the team get more value from its project management tools.
Role overview
This specialist role focuses on building, refining, and maintaining automations and workflows in ClickUp. The work goes beyond routine admin tasks. Success here depends on understanding how teams collaborate, identifying workflow bottlenecks, and applying logic to streamline operations. Organization and a drive to make systems run smoothly are essential.
What you will do
- Design and set up ClickUp automations, such as status transitions, task templates, recurring tasks, dependencies, auto-assignment, and duplicating tasks across lists and boards.
- Support workflow implementation for teams, especially in new product development and R&D, including formulation, testing, approvals, and coordination.
- Create and maintain custom fields, views, lists, spaces, and dashboards to ensure ClickUp supports real work management.
- Reorganize existing ClickUp structures to reduce chaos, duplication, and unnecessary manual work.
- Gather requirements from team leads, triage incoming requests, assess feasibility and priority, and provide updates on progress and changes.
- Document automations and best practices for clear knowledge transfer between teams.
Requirements
- Technical mindset with strong process logic and an ability to connect the dots. Senior project management experience is not required, but quick learning, asking good questions, and driving solutions are important.
- Experience with ClickUp or similar tools (such as Asana, Monday, Jira, Notion, Airtable, or Trello) is helpful. The ability to understand workflows, suggest improvements, and confidently set up automations matters most.
- Enjoys systematic work, communicates clearly, and solves problems in practical ways. Vilgain values people who look for ways to make things more efficient, not just follow instructions.
