Overview:The American University of Bahrain (AUBH) is seeking a dedicated and proactive individual for the role of Academic Administrative Assistant. This full-time position is essential in supporting the Deans of the Colleges at AUBH, facilitating communication across various departments under the guidance of the Provost’s Office. The primary responsibility is to provide comprehensive academic assistance aligned with the Dean's objectives.Duties and Responsibilities:1. Deliver administrative support to the College Dean.2. Organize, schedule, and coordinate the Dean's activities and college operations.3. Address inquiries related to program matters from the Provost’s Office, Program Coordinators, QA Officer, faculty, external entities, and the public.4. Gather, structure, and analyze data for reporting and analysis purposes as requested.5. Aid Deans in formulating relevant policy and procedure documentation.6. Provide administrative assistance by managing appointments and coordinating meetings for the Dean and college.7. Assist in preparing meeting materials and presentations for the college and assigned committees.8. Document meeting minutes for the college and committees as assigned.9. Support the Dean in liaising with accreditation bodies (e.g., WSCUC, BQA, etc.) concerning administrative matters.10. Keep the QA officers updated on curriculum and study plan modifications, offering necessary support.11. Facilitate the onboarding process for new faculty members in the college by coordinating with HR, IT, and the Librarian.12. Collaborate with Program Coordinators and faculty to manage internship applications and capstone projects in conjunction with the AUBH career center.13. Ensure smooth coordination of applications submitted to HEC for field trips, guest speaker invitations, and related activities.14. Guarantee effective handover processes within the college during any leave of absence.15. Provide support for committee-related responsibilities assigned by the Provost.16. Undertake additional tasks as directed by the Dean or Provost.
