We are seeking a highly organized and professional Administrative Assistant to provide comprehensive administrative support to senior management, ensuring the seamless operation of daily activities. This role acts as a vital communication bridge between leadership and both internal and external stakeholders, requiring a strong sense of professionalism, confidentiality, and exceptional coordination skills.
Key Responsibilities
- Schedule Management: Oversee the daily calendar of senior management, arranging internal meetings, business appointments, and travel plans (including flight and hotel bookings, visa processing) to ensure efficient time management.
- Meeting Coordination: Organize and prepare for various meetings, handling room reservations, material preparation, equipment setup, meeting minutes, and follow-up on action items.
- Document Management: Draft, print, circulate, and archive a variety of documents, reports, speeches, and business correspondence, ensuring adherence to formatting standards and accuracy of content.
Travel Support: Manage all logistical aspects of leadership travel, including itinerary planning and expense reimbursements (organizing receipts, completing reimbursement forms).
