Role Overview:
This unique position blends the responsibilities of an Executive Assistant with the strategic oversight of a Chief of Staff. We seek an individual who excels in navigating complexity, taking initiative, and acting on behalf of the executive when required.
In this role, you will be empowered to represent the executive in meetings, make informed decisions within established parameters, and drive the business forward with minimal oversight. Your discretion, sound judgment, and accountability will be vital to your success.
Key Responsibilities:
- Collaborate closely with the executive to manage priorities, streamline workflows, and ensure effective execution across the organization.
- Represent the executive in both internal and external meetings, capturing outcomes and making decisions as authorized.
- Act as the executive's voice in communications, follow-ups, and stakeholder coordination.
- Oversee calendar management, inbox triage, travel planning, and meeting preparations at an executive level.
- Lead project execution, ensuring deadlines are met and obstacles are proactively addressed.
- Draft briefs, summaries, presentations, and decision documents as needed.
- Facilitate cross-team coordination (Operations, Marketing, Finance, HR, etc.) to ensure alignment on goals.
- Anticipate needs, identify potential risks, and propose proactive solutions before issues arise.
- Maintain utmost confidentiality and exercise sound judgment consistently.
Qualifications:
- Minimum of 5 years of experience in roles such as Executive Assistant, Senior EA, Operations Manager, or Chief of Staff.
- Demonstrated experience representing an executive and making decisions on their behalf.
- Exceptional written and verbal communication skills in English.
- Strong business acumen and the ability to work independently with minimal supervision.
- Experience working with founders, C-suite executives, or in fast-paced growth environments.
- Highly organized with strong prioritization and follow-through skills.
- Comfortable navigating ambiguity and adapting to changing priorities.
- Located in South America with reliable availability aligned to US time zones.
